Booking Policies


Confirmed Booking:
A booking is deemed confirmed when the booking coordinator receives the signed event contract and credit card / billing information to secure the space.


Must be signed by the event organizer including payment details.


If contract is cancelled less than 7 days prior to event booking, 50% of the full rental cost will be applied.


Users are liable for the cost of any damage to the facility or equipment during the rental period.


You agree to carry, and upon demand to provide evidence of, reasonably sufficient insurance coverage for any loss or damage to your contents and belongings, any personal injury, and for any liabilities arising out of or resulting from the use of the rental facilities by you or your representatives, and from your obligations pursuant to this Agreement, including but not limited to, comprehensive general liability insurance in an amount of not less than $2,000,000.00 per occurrence.


Museum Exhibit Area:
Rental of meeting space does not include access to the Oil Sands Discovery Center Museum. If your group is interested in accessing the museum please contact Aaron Fairbrother at 780-743-7167. Groups / Individuals may not adjust exhibition material or place any non-exhibition material on exhibit furnishings.


Lost Property:
The staff and management of the venue do not accept responsibility for any lost, stolen, or damaged property left at the venue prior to, during or after your booking.


Food and Beverage:
No food or beverage services will be provided by Fort McMurray Tourism (FMT). No food or beverage will be permitted in the Theatre or Exhibit areas. Caterers providing food and beverage services must be licensed and are responsible for any required licensing. Self-catering is permitted for non-public events.


Food Service Amenities:
Renter is to be responsible for providing any linens, dishes and cutlery. No cooking amenities are available.


If you wish to serve alcohol on the premises, prior written approval from FMT is required. No alcohol of any kind will be permitted unless a liquor license has been acquired, a copy of which must be submitted to FMT at least one week prior to the event. All alcohol and related license fees will be purchased and paid for by the renter. Servers must have their ProServe.


Posters, decorations or similar items are not permitted to be attached to walls, doors or hung from ceiling or fixtures without prior approval. The throwing of rice, bird seed or confetti or similar items is not permitted inside or outside the Oil Sands Discovery Centre. Votive candles or flame lighting of any sort is prohibited.


The facility must be left in a clean and orderly fashion. All decorations/items, food brought in must be removed from the facility. Failure to remove all items will result in a $150.00 cleaning fee.
